Turn a folder of files into the Monday report
Each week the same report has to be assembled from a handful of files, a few email threads and last week's version. It takes an hour, most of it spent gathering rather than thinking.
ChatGPT route
- Create a project and upload the source files, last week's report and the standing instructions for tone and length.
- Ask for a source map first: what each file is, its date, and which version should be treated as authoritative.
- Draft the report from the mapped sources, asking for anything uncertain to be marked rather than filled in.
- Once the shape is stable, move the repeated version into Work so the gathering happens before you sit down.
This project holds the source material for a weekly report to [audience]. Before drafting anything, list every file you can see, its date, what it is for, and any place two files disagree. Then draft the report in [length] using only that material. Mark anything uncertain as [CHECK] rather than completing it by guesswork. Keep names, dates, figures and commitments exactly as written. Finish with a short list of the items I should verify myself before this goes out.
Gemini route
- Work from the Gemini side panel so the Drive folder and the relevant Gmail threads are already in reach.
- Name the folder and the threads explicitly, and tell it to ignore everything else in the account.
- Ask it to research across those sources with attribution before it writes a word of the report.
- Have it generate the report as a formatted Doc saved to Drive, where the next person can edit it directly.
Use only the Drive folder [name] and the Gmail threads with [label or sender] for this task. Do not search the rest of my account. First summarise what you found in each source with a link back to it, and name anything that contradicts something else. Then create a Google Doc of [length] for [audience] covering what changed, what is blocked and what happens next. Attribute every figure to its source. How to choose: Start with Gemini when the folder and the threads are already in Google and the output is a Doc someone else will edit. Start with ChatGPT when the material arrives from several different systems, or when the goal is to hand the whole recurring job over rather than to speed up an hour of your own.
What you still need to check
- Confirm every figure and commitment against the original file, not against last week's summary.
- Check that nothing from an unrelated thread or folder has been pulled in because the scope was loose.
- Decide yourself which omission would matter to this audience politically or commercially.
- Run the automated version alongside the manual one for at least two weeks before trusting it alone.
Get back on top of a week of email
You return from leave to several hundred messages. Most are noise, a few contain decisions made without you, and one or two are quietly on fire.
ChatGPT route
- Connect or paste only the threads that plausibly matter, since the assistant does not reach your mailbox on its own.
- Ask it to sort what it has into decisions taken, questions awaiting you, commitments you now own, and noise.
- Have it draft replies only for the threads you name, one at a time, with the relationship described.
- Keep the whole catch up in one project so the context survives the next interruption.
Here are email threads from the week I was away. Sort them into four groups: decisions that were taken, questions waiting on me, commitments I now own with their dates, and things I can ignore. For each item in the first three groups, quote the sentence that put it there. Do not draft any reply yet, and do not assume a thread is resolved because it went quiet. When you have finished, tell me which three items you think are most time critical and why.
Gemini route
- Ask from inside Gmail, where the mailbox and the calendar are already available to it.
- Scope it deliberately: a date range, and the senders or labels that matter, rather than the whole account.
- Ask it to check the calendar for what was decided in meetings you missed, and to surface conflicts.
- Have it draft replies as Gmail drafts rather than sending, so nothing leaves without you reading it.
Look only at mail received between [dates] from [senders or labels], plus my calendar for the same period. Produce four lists: decisions taken without me, questions still waiting on my answer, commitments now in my name with dates, and threads I can safely ignore. Quote the line that justifies each entry and link to the message. Then open drafts in Gmail for the [number] threads I name, and do not send any of them. Flag anything that reads as urgent or unhappy.
How to choose: Gemini has the shorter path here for anyone on Gmail, because the material is already in reach and the draft lands where it belongs. ChatGPT is the better choice when the real backlog is spread across a different mail system, a chat tool and a ticket queue, and the sorting matters more than the sending.
What you still need to check
- Read every message the assistant classified as safe to ignore before you actually ignore it.
- Check that no confidential thread was summarised into a document that will be shared wider.
- Write the apology, the escalation and the difficult no yourself, in your own words.
- Confirm each commitment with the person who thinks you made it, not with the summary.
Build a deck for a decision meeting
You have a pile of evidence and twenty minutes of meeting time. The deck has to lead to one decision, and every number in it will be challenged.
ChatGPT route
- State the decision, the audience, the time and the constraint before any slide is produced.
- Ask for the storyline alone first, and approve it before a single slide is designed.
- Have the presentation built as a real file, then use the preview to point at a weak slide and ask for that part again.
- Check the numbers in the finished file rather than in the chat, because the two can differ.
Create an editable presentation for [audience] that leads them to decide [decision] in [minutes]. Use only the attached material. First show me the storyline: what they believe now, what the evidence changes, and what action follows. Do not build slides until I approve it. After approval, keep a source note against every figure and claim, invent no data, and mark any evidence you consider weak. Finish with a review sheet covering numbers, chart labels, and the clarity of the ask.
Gemini route
- Build it in Canvas so the slides take shape beside the conversation rather than arriving as a wall of text.
- Point it at the Drive files that hold the evidence, and say which ones are authoritative.
- Approve the narrative before the styling, then iterate on the two or three slides that carry the argument.
- Export to Google Slides so the deck lands where your colleagues can edit it before the meeting.
Use Canvas to build a short presentation for [audience] who must decide [decision] in [minutes]. Draw only on the Drive files I have named, treating [file] as authoritative where sources disagree. Start with the narrative: the current belief, the evidence that changes it, and the decision that follows. How to choose: Both can produce a usable deck. Gemini is the shorter route when the evidence is in Drive and the deck has to end up in Slides for others to edit. ChatGPT is worth the extra step when the evidence came from several systems, or when the deck is one output of a larger piece of work you want to keep in one place.
What you still need to check
- Approve the storyline before anyone polishes slides built around the wrong message.
- Trace every number back to a source your audience would accept without argument.
- Open the deck in the real application and check charts, labels and speaker flow.
- Decide yourself what deserves a slide, what deserves a sentence, and what deserves silence.
Answer a question that needs the web and your own files
A recommendation is due, and the answer depends partly on current public evidence and partly on what your own organisation already knows and has already tried.
ChatGPT route
- Define the decision, the deadline, the criteria and the evidence that would change your mind before starting.
- Bring the internal material in deliberately, since it will not be found unless you supply or connect it.
- Keep provider claims, independent evidence and the assistant's own synthesis visibly separate in the output.
- Turn the evidence into a memo as a second, reviewed step rather than accepting the report as the memo.
Help me decide [decision] for [audience] by [date]. Compare the options against [criteria]. Use the attached internal material as context, and search for current public evidence separately. Keep three things apart in your answer: what a vendor claims, what an independent source shows, and what you have inferred. Cite every consequential claim. Show where the evidence is thin. Finish with the recommendation, your confidence in it, and the specific finding that would reverse it.
Gemini route
- Use Deep Research and select the sources yourself: Search, plus the specific Drive files, Gmail threads or notebooks that belong.
- Review the plan it proposes and cut the branches that cannot change the decision.
- Ask for public evidence and internal context to be reported separately rather than blended.
- Open the citations that carry the recommendation before you repeat any of it to anyone.
Run Deep Research on [decision] for [audience]. Use Google Search plus only these sources from my account: [named Drive files, threads or notebooks]. Keep public evidence and my internal material in separate sections and never let one stand in for the other. Compare the options against [criteria]. Follow disagreements rather than resolving them early. How to choose: Gemini has the advantage when the internal half of the answer is already in Drive, Gmail or a notebook, because selecting those sources is a click rather than an upload. ChatGPT is the better route when the internal material comes from systems Google cannot see, or when the research needs to sit alongside other work in a project.

Choose by the need in front of you
Start somewhere sensible, then move when the real work gives you evidence that the other route fits better.
Most of my documents and email are in Google Workspace
Gemini appears beside Docs, Gmail, Sheets, Slides and Drive, and since the September 2026 rollout it can create files straight into Drive and drafts straight into Gmail.
Consider switching when: Move to ChatGPT when a task depends on systems Google cannot reach, or when you want the whole job handed over rather than accelerated.
Check before deciding: Convenience widens what the assistant can see, so decide deliberately which folders and threads are in scope for each task.
My work is spread across several different tools
ChatGPT is built as a general workbench rather than a suite companion, and its connected apps and Work tasks assume a mixed set of systems.
Consider switching when: Move to Gemini for the parts of the week that really do happen inside Google, since nothing beats already being there.
Check before deciding: Breadth only helps if you can still name which sources the current task should use and which it must not.

Both have a usable free tier. Google lists its Flash, Flash-Lite and Pro models as available without a plan, at a 32k context window, which is a few dozen pages rather than a few hundred.

I am handling confidential client or employee material
The account decides this, not the brand. Google says Workspace prompts are customer data and are not used to train models without permission, while a personal Gemini account has chats that human reviewers may read and keep for up to three years.
Consider switching when: Stop and switch accounts, rather than products, the moment you notice you are signed in personally for work material.
Check before deciding: Ask yourself whether you would be comfortable with a stranger reading this conversation in three years, because on some accounts that is the stated arrangement.
I want a long job to come back finished while I do something else
ChatGPT Work completes multi step tasks with the files, apps and tools an authorised workspace member can reach, and stops for approval before consequential commitments.
Consider switching when: Move to Gemini Spark when the task is Workspace heavy and local file organisation is the point, and your plan, age and region allow it.
Check before deciding: Automate collecting and preparing long before you automate sending, paying, posting or deleting.
A cited report on a question that matters
Both run longer research and return citations. Gemini can pull Search together with Gmail, Drive, uploaded files and notebooks, while ChatGPT keeps the research beside the project it belongs to.
Consider switching when: Switch when the product cannot reach a source the answer depends on, or when its report makes the evidence harder rather than easier to check.
Check before deciding: A citation proves where a sentence came from. It proves nothing about whether the source was any good.
The Human Bit
The assistant can do the fetching. It cannot carry the consequence.
Choosing between these two is mostly a question about your own working life: where the material sits, who is allowed to see it, and what happens if the answer is wrong. Those are the parts to settle before you open either product.

Scope before you ask
An assistant that can search your whole mailbox will search your whole mailbox. Naming the folder, the label or the date range is what turns a broad permission into a narrow task.

Check the plan, not the announcement
Features arrive on different tiers, in different regions and at different ages, and a launch post is not evidence that your own account has the thing.

- Plans, features, regions and age limits move quickly on both sides. Check the product you can actually open before you build a routine around a feature named here.

- Data handling depends on the account rather than the brand. A personal login, a managed workspace and an API all follow different rules even when the underlying model is the same.
